This policy page outlines our policies and procedures relating to enrolments, fees, class cancellations, and attendance. It is designed to help you understand your rights and responsibilities when enrolling in our programs and explains how we manage enrolment-related matters to support a smooth learning experience for you.

Free Trial Policy

At Knoji, we understand the importance of choosing the right tutoring centre for your child’s educational needs. To assist with this decision-making process, we offer free trial lessons for our courses. We believe that these trials allow prospective students and parents to experience our teaching methods and course content before making a commitment.

1. Free Trial Eligibility:

1.1. Students are eligible for one free trial lesson for our High School Maths, and High School English courses if they have not had a free trial for that course before.

1.2. Free trial lessons are offered to students only once per course, regardless of the course year level. For instance, a Year 7 student who redeemed a trial class for the English course will not be eligible for another free trial for the Year 8 English course in the future, as it is considered the same course.

2. Free Trial Redemption:

2.1. Free trial lessons are redeemable only once per course at Knoji. 

2.2. Free trials cannot be redeemed for the same course at different Knoji/Alpha One centres. Once a free trial lesson has been attended for a specific course, the student is not eligible for another free trial for the same course, regardless of the centre.

3. Invoicing and Commitment:

3.1. We send out invoices only after the free trial lessons are attended. This policy is in place to ensure that there is no pressure on the parents to commit to the course beforehand.

3.2. Parents are free to cancel after the free trials if they find that the course is not a suitable fit for their child.

Content Use & Distribution Policy

At Knoji, we take pride in providing high-quality, customised educational materials to support our students’ learning journey. To protect the integrity and value of our educational resources, we have implemented the following policy regarding the sharing of materials:

By enrolling your child with Knoji, you agree to comply with this policy and understand that it is essential to protect the integrity and value of our materials.

Thank you for respecting our intellectual property and commitment to delivering the highest quality education.

1. Intellectual Property:

1.1. All course materials, including but not limited to workbooks, notes, digital content, and practice exams, are the intellectual property of Knoji. These materials are provided solely for the enrolled student’s personal use.

2. Non-Transferable Use:

2.1. Materials are intended solely for the enrolled student and their direct educational benefit. Parents and guardians agree that these resources will not be copied, distributed, or shared with anyone.

3. Third-Party Use Prohibited:

3.1. Sharing Knoji materials with third parties including other tutoring services, schools, families and friends is strictly prohibited.

4. Digital and Physical Reproduction:

4.1. Parents and guardians may not reproduce or distribute materials whether in digital or physical format, beyond their intended personal use for the enrolled student.

4.2. For any digital resources provided, login credentials are strictly for the enrolled student’s use. Sharing access details with others is not permitted.

5. Consequences of Non-Compliance:

5.1. Any breach of this policy may result in:

          5.1.1. The immediate termination of the student’s enrolment

          5.1.2. Legal action to protect Knoji’s intellectual property and to recover damages

Refund Policy

At Knoji, we believe that education is a commitment based on trust and understanding. We acknowledge that there can be unexpected circumstances that might lead parents to reconsider their child’s enrollment with us. As such, we have a flexible refund policy in place, as described below.

1. Refund Eligibility

1.1 Voluntary discontinuation for the rest of the term
Parents may choose to discontinue their child’s enrollment at any time. Refunds are provided for classes scheduled after the date of the discontinuation and refund request. We do not refund classes that have already occurred before the date of discontinuation unless valid documentation (such as a medical certificate or travel document) is provided for those dates.

1.2 Non-attendance due to verified medical or travel-related reasons
If a student misses a class due to medical or travel-related reasons, the parent may be eligible for a refund or credit even if the class has already occurred if supporting documentation (such as a medical certificate or travel document) is submitted with the refund request.

1.3 Missed classes without documentation
Refunds will not be granted for missed classes that occurred before the date of discontinuation unless the absence is supported by appropriate documentation. This includes situations where a student has stopped attending but did not formally notify staff.

1.4 Refunds are not provided when there is a balance due
For example, if you miss a class in Term 1 for a valid reason and have an unpaid invoice for Term 2, we will provide a credit toward your Term 2 invoice instead of issuing a refund. If you decide not to attend Term 2 and give the required notice, we will change your Term 1 credit into a refund, assuming other criteria have been met.

2. Refund Process

2.1. Request submission
To initiate a refund, please contact our customer accounts team at [email protected]. Include relevant details and, if applicable, attach supporting documents (such as medical or travel certificates).

2.2. Review and calculation
Refunds are calculated based on the number of eligible remaining lessons in the term from the date of request or the date of valid absence documentation. Our team will review all documentation and determine the refundable amount accordingly. Please note sibling and multi-course discounts will be reversed where applicable.

2.3. Processing time
All approved refunds will be processed within 10 business days from the request date.

3. Refund Methods

3.1 Direct refunds
Approved refund amounts can be transferred directly to the parent’s nominated bank account. As noted above, refunds will be processed as a credit on your account when an unpaid invoice is outstanding.

3.2 Credit option
Alternatively, parents may retain the refundable amount as a credit on their account towards other courses or future terms at Knoji.

Make-up Policy

At Knoji, we understand the unpredictable nature of life and the fact that students may sometimes miss their scheduled classes due to both unforeseen circumstances and other planned commitments. In response to this, we offer a flexible make-up policy to ensure that our students don’t miss out on their learning opportunities. Below are the details of our policy:

1. Rescheduling Lessons:

1.1. If a student cannot attend a scheduled lesson, they can reschedule it to any other available class timing within our academic week. Please note that our academic week starts on Tuesday and ends on Monday.

1.2. If the student cannot attend an in-person lesson, we can arrange an online make-up lesson.

1.3. If you would like to schedule a makeup class due to a planned event, please contact us around a week prior to the missed lesson.

2. Lesson Material Collection:

2.1. If a student cannot attend a lesson but would like a copy of the lesson materials, they can collect a copy in-person at their Knoji/Alpha One Centre. Please note that fees for that academic week will be incurred if lesson materials are collected. 

3. Refunds and Credits:

3.1. Refunds or credits are only offered under two circumstances:

    3.1.1. Illness: If a student is unable to attend a class due to illness, a refund or credit will be granted upon providing a valid medical certificate.

    3.1.2. Travel: If a student is unable to attend classes due to extended travel, a refund or credit can be organised upon providing proof of travel (e.g., flight tickets, accommodation bookings etc.).

3.2. If a refund or credit is processed, students are unable to collect a copy of the lesson materials.

3.3. If students want to collect a copy of the missed lesson materials, a refund or credit will not be processed.

Extended Absence Policy

Given the limited number of spots available in each class and our commitment to small group classes, we are unable to hold spots for students who wish to unenroll for 4 or more weeks within a 10-week term.

Below we outline alternatives for students who wish to continue their enrolment during weeks of absence and remain engaged in the coursework.

1. Policy Overview

1.1. If a student wishes to cancel classes for four or more weeks during a 10-week term, their spot in the small group class cannot be held.

1.2. This policy applies to any reason, including illness, personal reasons, or travel.

1.3. Parents or guardians are encouraged to notify the administration as early as possible before the start of the absence to arrange suitable alternatives.

2. Education Continuity Options

2.1. Online Makeup Classes:
If your child is unable to attend face-to-face classes, we may offer online classes (subject to availability) that students can attend from any location. This ensures they continue to receive instruction and stay up to date with the course content.

    2.1.1. Students need a stable internet connection and a device to participate in online classes.

    2.1.2. Enrolment in online classes must be confirmed at least one week before the planned absence begins.

2.2. Provision of Materials:
For students who cannot participate in online sessions but wish to stay enrolled during the period of absence, we will provide all necessary study materials for the duration of their absence.

    2.2.1. Study materials include class booklets, worked solutions, and any additional materials that we can offer.

    2.2.2. Materials can be collected in person.

3. Re-enrolment Considerations

3.1. If you have cancelled classes for 4 or more weeks during the extended absence and not opted to stay enrolled via online makeup classes or by receiving the course materials, upon returning, students wishing to rejoin classes must re-enrol. Placement will depend on the availability of spots in appropriate classes.

3.2. While we cannot guarantee the same class or teacher upon their return, we will strive to meet the student’s needs and preferences as closely as possible.

Senior Enrolment Policy for Knoji

1. Eligibility

  1. 1. Age and Grade Level: Year 11 (Preliminary) and 12 (HSC) course enrolments are considered senior enrolments, unless otherwise specified for particular programs. 
  2. 2. Academic Requirements: There are no minimum academic requirements for enrolment; however, the program is designed to best suit students who have a sound grasp of year 7-10 content. 

2. Enrolment Process

2.1. Inquiry: Interested parties are encouraged to contact us via phone or email for initial inquiries. Our staff will provide information on available programs, schedules, and fees. 

2.2. Assessment: All senior students must complete a skills assessment prior to formal enrolments. This allows our company to make the most appropriate recommendation for the student’s learning needs. 

2.3. Consultation: A consultation call may be scheduled with the student and their guardian to discuss the assessment results, recommend a tutoring plan, and to answer any questions. 

2.4. Registration and Payment: Upon agreement of the tutoring plan, complete the enrolment process by booking in the first class. 

3. Fees and Payment

* We only allow material purchasing in the following circumstances: 

  • Senior students who have started later in the term and would like access to materials from previous weeks. 
  • Students who have cancelled their class due to school examinations and would like access to the learning materials for the week.
 

3.2. Payment Terms: Tutoring fees are paid on a termly basis. Payments can be made via bank transfer, cash or EFTPOS (in person). The company’s bank transfer details are available on the invoice you receive. Payment plans are available and can be discussed. If no payment plan is in place, term invoices must be paid by the due date. 

3.3. Refund Policy: Our refund policy is as follows: 

  • Students who discontinue from our course will be refunded the lesson fees for the remaining weeks of the term. 
  • Students who cannot attend due to medical or travelling reasons can receive a refund for cancelled classes given that they provide a  medical certificate or supporting documentation.
  • Students who cannot attend due to school examinations can receive a refund for cancelled classes given that they provide a copy of the school examination schedule.

          ○ The cancelled classes must fall within the student’s examination period and a class > 7 days before the commencement of the examination period cannot be cancelled. 

3.4 Material Purchase

Students who start their lessons after week 1 in the term can choose to purchase the previous weeks’ content. Material purchase is not available for non-enrolled students or year 6-10 students. Material purchase fees can be found in item 3.1. Fee Structure.

4. Essay Marking Credits

Our senior English courses provide unlimited essay draft marking and review. Once submitted, assignments will be returned in 5 days. The marking may be completed prior to this, but 5 days is the guaranteed return time.

5. Code of Conduct

Students are expected to adhere to our code of conduct, which promotes respect, integrity, and a positive learning environment. This includes but is not limited to: • Treat all individuals within the school community with respect, dignity, and courtesy. This includes fellow students, faculty, staff, and visitors. 

  • Demonstrate honesty and integrity in all academic endeavours, avoiding plagiarism, cheating, and other forms of academic dishonesty. 
  • Respect the property of others and the school, avoiding vandalism, theft, or misuse of centre resources. 
  • Alcohol, tobacco, e-cigarettes, and all other illicit substances are not tolerated at the centre. 
  • Failure to comply with these guidelines may result in termination of enrolment. 

Privacy Policy

1. Introduction

Knoji Tuition provides tutoring and educational services for students in Years 6 to 12 through classes delivered at our own locations, at selected partner or affiliated locations, and online.

Knoji Tuition is operated by the following legal entities:

Knoji Tuition may deliver classes at locations operated by Alpha One Coaching College or other related or affiliated businesses. The location at which a class is delivered does not necessarily determine the entity responsible for providing the services or handling your personal information.

In this Privacy Policy, “Knoji”, “Knoji Tuition”, “we”, “us” and “our” refer to the relevant entity listed above that is responsible for providing the relevant services or otherwise dealing with you.

We are committed to protecting the privacy of the students, parents, guardians and other individuals we deal with. This Privacy Policy explains how we collect, hold, use and disclose personal information in accordance with the Privacy Act 1988 (Cth) (“Privacy Act”) and the Australian Privacy Principles (“APPs”).

Because many of our students are under 18 years of age, we take particular care with children’s personal information. We generally collect information about students from, and communicate primarily with, their parents or guardians. Where appropriate, we rely on parents and guardians to provide consent on behalf of students who are minors.

This Privacy Policy applies to current, past and prospective students and their families, visitors to our website and campuses, subscribers to our communications, and people who apply to work with us.

2. What personal information we collect

The kinds of personal information we collect depend on your relationship with us. It may include:

  • Name, gender and school year
  • Academic information: assessment and test results, class placement information, homework and marking records, and records of academic progress 
  • Health information: allergy information and, where relevant, other health or learning-support information a parent or guardian chooses to provide so we can care for the student safely
  • Attendance records, enrolment history and class details
Parents and guardians
  • Name, relationship to the student, phone number and email address
  • Billing and payment information relating to course fees
  • Supporting documents for refunds or credits: where a class is cancelled and a refund or credit is requested, we require supporting evidence such as a medical certificate or proof of travel. These documents may contain health information and are treated as sensitive information (see section 3)
  • Records of communications with us, including enquiries, feedback, complaints via call, text or email
Website visitors and subscribers
  • Contact details you provide when making an enquiry, booking a trial class or subscribing to our communications
  • Technical information collected through our website, such as IP address, browser type, pages visited and cookies (see section 10)
Job applicants, tutors and staff
  • Application details, qualifications, academic history, work rights, referee information and Working with Children Check details

3. Sensitive information

Some of the information we collect — such as student allergy information and medical certificates provided to support refund or credit requests — is “sensitive information” under the Privacy Act. We only collect sensitive information with your consent, and only where it is reasonably necessary for our functions, such as keeping students safe during classes or assessing a refund or credit request.

Sensitive information is used only for the purpose for which it was provided, is accessible only to staff who need it, and is not used for marketing. Medical certificates and travel documents provided for refund or credit purposes are used solely to assess that request.

4. How we collect personal information

We collect personal information in a number of ways, including:

  • Directly from parents and guardians, through enrolment forms, trial class bookings, phone calls, emails, texts and in-person conversations
  • From students in the course of tutoring, such as class work, homework and assessments
  • Through our website, online enquiry forms and possible advertisements
  • From documents you provide to us such medical certificates or proof of travel

Wherever practicable, we collect information about a student from their parent or guardian rather than from the student directly. If you provide us with personal information about another person (for example, your child or another family member), we rely on you to have the authority to do so.

You may deal with us anonymously or under a pseudonym for general enquiries. However, we cannot enrol a student or provide tutoring services without collecting the information described above.

5. Why we collect, hold and use personal information

We collect, hold and use personal information to:

  • Enrol students and deliver tutoring services, including placing students in appropriate classes and levels
  • Track, assess and report on student progress to parents and guardians
  • Keep students safe, including managing allergies and responding to emergencies
  • Process fees, refunds and credits, including assessing supporting documentation for cancellations
  • Communicate with parents and guardians about classes, schedules, results and administrative matters
  • Send course announcements, term reminders and promotional material (see section 6)
  • Improve our courses, teaching materials and services
  • Respond to enquiries, feedback and complaints
  • Recruit and manage tutors and staff, including verifying Working with Children Check requirements
  • Comply with our legal obligations

We do not use or disclose personal information for purposes other than those described in this policy unless you have consented, you would reasonably expect us to, or the use or disclosure is required or authorised by law.

6. Direct marketing

With your consent, or where you would reasonably expect it, we may send you marketing communications by phone call, email or SMS, such as newsletters, course announcements, enrolment reminders and information about upcoming programs. We use third-party email and SMS platforms to deliver these communications (see sections 7 and 8).

You can opt out of marketing communications at any time by contacting us using the details in section 13, or by following the opt-out instructions included in the message. We will action opt-out requests promptly and in any event within the timeframes required by law. If you opt out of marketing, we will continue to send you essential communications relating to your child’s enrolment, such as class schedules, timetable changes, results and billing matters. We do not send marketing communications to students, and we do not use sensitive information for marketing.

Student results in our marketing

We may publish aggregated, de-identified information about student outcomes or course results on our website, social media posts and in promotional material. Such information is presented in a way that is not intended to identify individual students. 

We do not publish a student’s name, photograph, school or individual academic results in our marketing without the express written consent of their parent or guardian, where the student is a minor.

7. Who we disclose personal information to

We do not sell personal information. We may disclose personal information to:

  • Our tutors and staff, on a need-to-know basis, so they can teach and care for students (including relevant allergy information for students in their classes)
  • Service providers that support our business, including cloud productivity and storage providers (such as Google and Microsoft services), email and SMS marketing platforms, online class delivery platforms, payment and banking providers, and IT support. These providers are only permitted to use personal information to provide services to us
  • Professional advisers, such as accountants, auditors, insurers and lawyers, where reasonably necessary
  • Government agencies, regulators, courts or law enforcement, where required or authorised by law

Where we disclose personal information to third-party service providers, we take reasonable steps to ensure that the information is handled appropriately and securely.

8. Overseas disclosure

Some of the service providers we use, including cloud storage, productivity and email/SMS marketing platforms, may store or process data on servers located outside Australia, including in the United States. Where personal information is disclosed to overseas recipients, we take reasonable steps to ensure they handle it in a manner consistent with the APPs, including by using reputable providers with appropriate security and privacy commitments.

9. Storage, security and retention

We hold personal information in electronic systems (including cloud services provided by Google and Microsoft) and, in limited cases, in paper records at our campuses. We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure, including:

  • Password protection and access controls, so information is available only to staff who need it
  • Requiring all tutors and staff who work with children to hold a valid Working with Children Check
  • Using reputable service providers with their own security measures

We retain personal information only for as long as it is needed for the purposes described in this policy or as required by law (for example, financial records must be kept for the periods required under taxation law). 

10. Website, cookies and analytics

Our website may use cookies and similar technologies to remember your preferences, understand how visitors use the site and improve your experience. This information is generally aggregated and does not identify you personally. You can adjust your browser settings to refuse cookies, though some parts of the website may not function fully as a result. Our website may contain links to third-party websites; we are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

11. Access and correction

You may request access to the personal information we hold about you or your child, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Requests can be made using the contact details in section 13.

We will respond within a reasonable period (usually within 30 days). We do not charge for making a request. In limited situations we may refuse access or correction where the Privacy Act permits; if so, we will give you written reasons and information about how to complain.

12. Data breaches

We take data breaches seriously. If a data breach occurs that is likely to result in serious harm to any individual, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme under the Privacy Act.

We will acknowledge your complaint promptly, investigate it, and respond within a reasonable period (usually within 30 days). If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by calling 1300 363 992.

14. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or the law. The current version will always be available on our website, and significant changes will be communicated to families. This policy was last updated in August 2026.
